Sage Master Builder Tip: Re-sorting Records

Ever wondered why some Sage Master Builder fields have a small, yellow bar on the left side of the field? The presence of this yellow bar indicates that you can re-sort the records to display by that field.

When you open most Master Builder screens you are in "new record" mode. You are presented with a blank screen with the assumption that you want to create a new record or transaction. If you actually want to view an existing record or transaction the arrow buttons at the top of the screen let you click through and view those records one at a time. You can use either the forward or backward arrows to move through the records until you find the one that you want. By default the records are stored in record number order, that is by the next chronological number which is assigned to each transaction when it is saved. However, record number order is usually not that useful when searching for an existing transaction.

On any screen you can re-index the records to search and display any of the fields with the little yellow tab. For example, if you wanted to view all AP invoices on the 4-2 screen for a certain job, just click in the job number field and pull in the job number that you wanted to view. With the cursor placed in the job number field with the yellow tab, use the F9 key. The screen will display the first AP invoice that it finds for that job. At this point you can use the "page down" key to view the next AP invoice for that same job. Continuing to use the "page down" key will display each invoice for that job one at a time. You can also use "page up" to go back through the invoices that you already viewed.

It is important to note that once you have "indexed" the records with the F9 key you can not use the "next record" or "previous record" buttons. You must view the records with the "page up" and "page down" keys. It is also important to remember that this 'indexing' is only temporary. Once you exit the screen or click the "next record" or "previous record" arrows at the top of the screen the indexing is gone. You will need to re-index again with the F9 key.
